IT Operations Coordinator Position Overview 

As an IT Operations Coordinator at MSG, you will be a vital member of our administrative and operations team, supporting both our internal technical staff and external clients. This dynamic role goes beyond traditional administrative duties, encompassing vendor management, project coordination, office resource oversight, and marketing support. You’ll work closely with leadership and technical teams to ensure seamless operations and exceptional service delivery. 

 

Work Schedule: Monday to Friday, 7:45 AM – 5:00 PM 


Key Responsibilities 

Vendor & Resource Management 

  • Track and update office resources such as equipment inventory, software licenses and subscriptions, office supplies and snacks. 

  • Process equipment requests from technical staff, ensuring timely delivery and accurate documentation. 

  • Facilitate clear communication between staff and clients regarding quotes and orders. 

  • Advocate for clients to ensure accurate billing, service quality, and equipment delivery. 

  • Conduct client audits including inventory, hardware/software, cost, and network assessments. 

  • Maintain and manage relationships with vendors including ISPs, VoIP providers, and equipment manufacturers and suppliers. 

Oversee new and renewal opportunities under MSG’s Master Agent program. 

Project & Timeline Support 

  • Assist in managing project timelines and ensuring key milestones are met. 

  • Communicate with clients throughout project lifecycles to provide updates and gather feedback. 

  • Coordinate with internal teams and external vendors to keep projects aligned with expectations. 

Marketing & Communications 

  • Serve as a communication liaison for clients, employees, and affiliates via phone, email, or in-person. 

  • Support helpdesk operations by answering and dispatching calls as needed. 

  • Manage incoming calls for Sales and Accounting departments. 

  • Organize and schedule meetings/events for clients, staff, and prospects. 

  • Facilitate client visits by coordinating schedules, managing sign-ins, and ensuring a professional office environment. 

  • Assist with marketing initiatives including content creation, campaign coordination, and social media engagement. 

  • Support internal and external communications to highlight company updates and project successes. 

Technical Team Support 

  • Collaborate with engineers to troubleshoot vendor-related issues. 

  • Act as a liaison between technical staff and vendors to ensure smooth operations and effective communication. 

Qualifications 

  • Professional, accountable, and detail-oriented 

  • Strong written and verbal communication skills

  • High proficiency in computer and internet use 

  • Positive, responsive, and adaptable attitude 

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Comfortable working with numbers and data

Compensation & Benefits 

  • Competitive salary based on experience 
  • Performance and salary review after 90 days, and annually thereafter 
  • Bi-monthly pay schedule (1st and 16th of each month)

Employment with Managed Services Group, Inc. is “at-will,” meaning either party may terminate the relationship at any time, with or without cause or notice, in accordance with applicable laws.
